Project Diaries:
Week 1: (24/02/2025)
Outline of recording/rehearsal session:
In the session on Monday, I had spent the lesson working on my project proposal as I had made a few changes to it as I had two project ideas, so I had to decide on what I wanted to do. I had ended up deciding on hosting my own gig as this is what I want to go and do in university and as a career in the future. Because of this, I had also made some changes to my timetable, so it fits with my project but also expand on it, so I have a clear idea on when I wanted to do my research and what deadlines I had for it. In the session on Tuesday, I had started my context work. Finally, in the session on Friday I had started my context work and had researched on how Glastonbury manages their events as this will help me get a clearer idea on what else I can incorporate into my project. I had also looked at my research which I had started the week prior. This research was a google form where I asked people who are performing in my class when they would prefer to perform as I had two times, I could host my gig one being the afternoon the other being the evening. However, because I had completed my research prior, I had to find another piece of research to start on. I started by getting all the documents I will be using in the future and looking into my risk assessment which I will be using for next week’s research.

Problems and issues that appeared: I had two project ideas which would be too much work for me to do for my FMP.
After deciding a date to host my gig I had then the option of two different times to host my gig.
I had finished my research for the week prior.
Solutions: Give examples of how you were able to work with and adapt to overcome these issues
I had decided on just the one and then updated my project proposal and timetable to fit with these changes.
I had decided to make a google form and ask everyone who may be performing to answer so I can see what they would prefer.
To solve this, I had decided to gather all the documents I would need throughout the project and then I started looking into my risk assessments as this is the next thing I need research.
Reflection:
From my research I have learnt what techniques Glastonbury use when managing their events this helped me get a better idea on not only managing but also promoting my gig. I have also made more progress than expected so this will give me more time to look more into my other bits of research I need to do for the weeks ahead.
Targets for next week:
Next week I want to finish my SWOT analysis.
I also want to do my risk assessment and research on how it is important to events by the end of this week.


Week 2: (03/03/2025)
Outline of recording/rehearsal session:
In the session on Monday, I had started my SWOT analysis. In the session on Tuesday, I had started my research on risk assessments and why they are important within the music industry. The research part of this was difficult as it is difficult to find information on risk assessments within the music industry. I solved this problem by rewording what I am searching and reading through article and choose the ones I found useful, and I had also used some of the knowledge I have from previous risk assessments. After doing this I started on my actual risk assessment for the gig. In the session on Wednesday, I had finished my research and risk assessment. Another problem that had arrised is that I had struggled with what to fill in the event details box and to solve this I had done research on it to make sure that I fill it correctly. I had done some more work on my SWOT analysis which I had then finished in the session on Friday. However, during the process of doing my SWOT analysis I did struggle with trying to find strengths to do with myself and my project.

Problems and issues that appeared: I found it difficult to find information on risk assessments for gigs.
I had struggled with what I should put in the event details box.
I struggled with what I wanted to put in the strengths section of my SWOT analysis.
Solutions:
I had fixed the wording of I would search and then I would use knowledge that I have from previous risk assessments and applied that to my research.
I used what I found out towards my research.
I had gone through past SWOT analysis’ and picked out stuff that I could possibly use.
Reflection:
From this week I have learnt to not only use stuff I find out online as part of my research but also knowledge I already know from doing risk assessments in the past. I have also learnt to utilise past pieces of work for current work that I may be struggling on.
Targets for next week:

Get a list of everyone who is performing and then update them on the details so they know when they must have their sets by.


Week 3: (10/03/2025)
Outline of recording/rehearsal session:
In the lesson on Monday, I had started thinking about ticket prices for my gig. I was unsure at first with how much I would want them to be so to help me with this I had started looking at past gig posters and see what they have been then. This helped me figure out what I would want them to be. On Tuesday we were in the studio, and I had worked on everything I was meant to already. So, I had started looking at the finance sheet for the next week incase I have to change anything. In the session on Wednesday, I had started my annotated bibliography. This is so I can stay up to date with it and so I do not have to rush it in the future.

Problems and issues that appeared: I was not sure on what I wanted to charge for tickets for my gig.
I was at the studio Tuesday, and I had done all the work I was meant to do for the week.
I had done research the previous week but did not do a bibliography.
Solutions:
I had looked at previous gig posters to choose a ticket price.
I had started to look at my finance document for my upcoming research.
I started my annotated bibliography so I would not fall behind on it in the future.
Reflection:
This week I had learnt to work around my timetable and figure out things to do while I am ahead of my schedule.
Targets for next week:
Provide at least two targets you want to achieve next week –
I want to figure out a date and time I would like to start my sales for the tickets.
I would like to finish my finance documents.



Week 4: (17/03/2025)
Outline of recording/rehearsal session:
In the session on Monday, had worked on last week's project diary ensuring that I have added everything that I needed to including screenshots of work that I have done throughout that week. In the session on Tuesday, I started my research on promoting my gig. I had struggled with this a bit as I could not find the information, I needed however I then decided to start working on my form for everyone who is performing to enter details such as who is performing and then what equipment will be needed. This is so I can fill out the finance form for the equipment. In the session on Wednesday, I have started my promotion research. For this part I had looked at a variation of software that can help with creating a poster for the gig. I had then looked at things that can help enhance the quality of my posters (e.g. print quality, print material and paper finish and what are the pros and cons of them). In the session on Friday, I had finished my research on the posters and had finished my annotated bibliography. After doing this I had started my poster for the gig. I had struggled at fist with my first draft however I was able to apply this to another poster draft.

Problems and issues that appeared: I struggled on finding things to write for my finance sheet as I am not sure what equipment is needed right now.
I struggled to find research for my promotion research.
I wasn’t sure on the first draft of the poster for the gig.
Solutions:
To solve this issue, I have made a form for everyone to fill out so they can write who is not only performing but also what equipment is needed for each act.
I solved this issue by thinking of ways to promote the gig and then researching the main way I will promote which is posters.
I solved this by taking some ideas from my first draft and then using them to create my second draft which I prefer more.
Reflection:
This week I have learnt how to work around my research and find different ways to find the information that I need. I have also learnt how to create an engaging poster and an effect way to promote the gig.
Targets for next week:
Provide at least two targets you want to achieve next week –
One thing I would like to achieve this week is to send is to send out a form for everyone who is performing in the gig to fill out so I can work out who is in what acter and what equipment they will need.
Another thing I would like to do for this week is to finish my finance form after getting the final list of all the equipment that I need.




Week 5: (24/03/2025)
Outline of recording/rehearsal session:
In the session on Monday, I had finished my project diary for the week before. After this I had started to think about what I wanted to do for my research the week as I was struggling to think about what I could do. After a while of thinking I decided to work on the social media side of promoting. In the session on the Tuesday, I had then started my research. It was hard to find research on how social media can help with promotion, so I used my own knowledge on it and applied it to me research. I finished the rest of my research during the session on Wednesday and then spent Friday ensuring that my annotated bibliography is up to date. On Friday I was still unsure about the date I should release the ticket. However, after talking to Lucy, I have decided it would be best that I release tickets for when the letter goes out to parents about all the gigs coming up.
Problems and issues that appeared: I was struggling on what to research this week.
I struggled to find research on how social media can help with social media.
I was unsure about when tickets should go out for the gig.
Solutions:
I decided to work on researching about how social media is used within promoting.
I used my own knowledge on it and applied it to my research.
After talking to lucy I would like the tickets to be released around the same time as when the email that gets sent out to parents.
Reflection:
This week I have learnt how to use social media to help promote my gig.
Targets for next week:
Provide at least two targets you want to achieve next week – give examples of how you plan to achieve these targets.
Next week I want to send out a message to the year 1’s asking if anyone would like to perform in my gig.
I would also like to have the tickets go on sale next week so there is enough time for people to buy the tickets.


Week 6: (31/03/25)
Outline of recording/rehearsal session:
In the session on Monday, I had finished my project diary's and had ensured that I had added as many details about my research as I could. I had then gathered screenshots of all the work I had done in the previous week and added that to my project log too. In the session on Tuesday, I had then started working on writing down all the acts and then the equipment that they will be needing for the gig. After this I started looking at the running order. I did this by laying out things like when doors are, the time of the first act, time of the interval (estimated) and then when the show needs to be finished by. In the session on Wednesday, I carried on with the running order and the timings of each act. I had to take one act out as I am currently running over the finishing time. However, after doing this I am still over by approximately 5 minutes. To solve this, I have been going around to each of the acts and asking them how long their set will be and see if I can cut it down and so far, I have been able to cut it down by 3 minutes.

I still need another poster for the gig.
Solutions:
Even after cutting down the acts, I was still able to cut down to 5 minutes over.
I will start working on this in the next session.
Reflection:

I am still on schedule with my original timetable. This week I have learnt to figure out how to cut down time from my running order to ensure I do not go over the curfew.
Targets for next week:
Next week I want to get the running order finalised.
I want to start another poster for the gig.

Week 7: (21/04/25)
Outline of recording/rehearsal session:
In the session on Tuesday, I had gone over my finance sheet to ensure that it was 100% correct. However, I still had to write down how much on average it would cost to hire out a venue and how much all the equipment. I had also worked on the running order more and the timings of all the acts. In the session on Wednesday, I had started looking at ideas for another poster. This is because I want there to be multiple versions of the posters, so I am more likely to draw the attention of different people. In the session on Friday, I had started my poster however, I struggled with this a lot as I had many ideas but was unsure on how to do them. In the end I still Could not decide on what to do for the poster, so I decided to leave it and start working on the backgrounds for the gig.

Problems and issues that appeared: I still need to go over the prices of all the equipment for gig.
I struggled with what to do for my other poster.
After looking at more posters I still could not decide on what I wanted to do.
Solutions:
I will get the final list for equipment next week and then finish this.
I decided to look at different styles of posters and see which ones I like.
I ended up choosing to start working on backgrounds for the gig.
Reflection:

I have learnt how to work around not being able to do certain things and then work on something else instead.

week 8:
Outline of the week:
In the session on Monday I started working on the backgrounds for the gig. I started by going around some of the acts and asked what they would like on their backgrounds and any preferences for colours. In this session I also talked to Adam who runs the venue and I had asked him if he could put the tickets on sale for the following morning. In the session on Tuesday I had sent out the link for the tickets to everyone who is performing in the gig. Within this session I also asked a band from another gig if they would be able to perform for the gig and they agreed to it. In the session on Wednesday I finished off the posters that I had started in the session on Monday. In the session on Thursday I had started working on the running order format and I tried to make it look as organised as possible. In the session on Friday I went around everyone in the class and asked if they needed anything like backing tracks.

Problems:
I was yet to have tickets go on sale.
I still needed to create backgrounds for the gig.
I was not sure if anyone needed any backing tracks for the gig.
Solutions:
I talked to Adam and asked him if it would be possible to have them go on sale the following morning.
I started going around to everyone and asked them if there is any specific they would like on their background.
I also went around asking everyone who is performing if they needed anything specific like backing tracks.
Week 9: (05/05/25)
Outline of recording/rehearsal session:
In the session on Tuesday, I had finished the final running order. However, after finishing this I was then informed that a band needed two different sets as they are both doing performance projects. I had then sat down and figured out timings so I can ensure they can have two sets. In the session on Wednesday, I was informed by the band that there was still not enough time for them so I sat down with Lucy and talked about what we can do to extend the amount of time for both acts. In the end we agreed to have the set finish 5 minutes over the planned time and then we could also have the interval be changed back to 10 minutes instead of 7 minutes. In the session on Friday, I finished some more backgrounds and then went around everyone and asked them what they would like to change. I had also asked everyone to start sending in their setlists as I had to start creating a running order sheet and a plan for the day.

Problems and issues that appeared: I needed to add two different sets to the running order for one of the bands.
After sorting out a way for them to have two sets, I needed to find a way to ensure I gave them enough time for it.
I needed to create a running order sheet for the day however I did not have enough information for this.
Solutions:
I sat down and went through the running order and decided to have one of the extra acts taken off the list to free up some more time.
After still not having enough time me and lucy agreed to ask everyone their exact set timings and we were then able to sort out the timings and were also able to change the interval back to 10 mins from 7.
I messaged everyone asking for their setlists and then went through my forms from the beginning of the project and used it to find all the equipment I will need to write down.

Week 10: (12/05/2025)
In the session on Monday I had finished the running order with a setlist and equipment list. I also messaged the plan of the day to Adam and asked if would be ok to work around this and if there was any changes he wanted to make. In the session on Tuesday I had finished the backgrounds for the gig and then the backing tracks. I then put everything into a folder and shared it to Adam to make things easier for him. I then messaged everyone performing the plan of the day and then letting them know what times they can get food after soundcheck and then when to be back to the venue.

One of the people performing needed their backing tracks cutting.
I needed to finish the rest of the backgrounds.

Solutions:
I had put everything into a folder and then sent it to him.
I downloaded the backing Tracks and then cut off what they needed.
I worked on them during my sessions.
